Privacy Policy

1. Introduction

VoiceInk is built on a privacy-first principle. By default, all transcription processing happens entirely on your device using local AI models. No data leaves your computer unless you explicitly choose to enable optional cloud services.

This Privacy Policy explains what data is stored, how it is used, and your rights regarding that data. It applies to the VoiceInk macOS application and the VoiceInk iOS application.

2. Data We Collect

VoiceInk does not collect or transmit any personal data by default.

Local Processing (Default)

When using local transcription models (Whisper, Parakeet, Apple's native recognition, or any other local model), the following data is stored only on your device:

  • Transcribed text
  • Enhanced text (if you use AI enhancement)
  • Audio recordings (optional, configurable)
  • Custom vocabulary and prompts you create
  • App settings and preferences

Cloud Processing (Optional, Opt-In Only)

If you choose to use cloud transcription or AI enhancement, the following data is sent to the provider you select:

  • Cloud transcription: Your audio file is sent to your selected provider for transcription
  • AI enhancement: Only the transcribed text (never audio) is sent to your selected provider for improvement
  • Optional context: Clipboard text or current window content, only if you explicitly enable these features in settings

3. Data Storage

All VoiceInk data is stored locally on your device:

  • Transcriptions: Stored in a local database (SwiftData) on your device, protected by your device's system-level encryption
  • Audio files: Stored in your device's Application Support directory
  • API keys: Stored in your device's Keychain (secure encrypted storage). Keys are never sent to VoiceInk servers
  • Settings: Stored locally in UserDefaults on your device

VoiceInk does not operate cloud servers for storing user data. We do not have access to your transcriptions, audio files, or personal data unless you choose to share information with us directly (for example, when reporting a bug or issue).

4. Data Retention

You are in full control of how long data is retained on your device:

Transcriptions

  • Kept indefinitely by default until you delete them
  • You can manually delete individual transcriptions or bulk-delete all history
  • Optional automatic deletion can be configured (e.g., delete after 24 hours or 7 days)
  • Data can be exported as CSV before deletion

Audio Files

  • Kept indefinitely by default
  • Optional automatic cleanup available (default: 7 days if enabled)
  • Deleting audio files does not delete your transcriptions

Cloud Provider Data

When you use cloud services, data retention at the provider's end is governed by their individual privacy policies. We recommend reviewing the policies of any provider you use.

5. Third-Party Cloud Services

VoiceInk supports a range of optional third-party cloud services. These are only activated when you provide an API key and select them. You remain in control of which providers you use.

You can also configure custom OpenAI-compatible API endpoints, in which case your data is sent to the server address you specify. Each provider is subject to its own privacy policy and terms of service.

6. Your Privacy Rights

Since VoiceInk stores all data locally on your device, you have direct control over your data at all times:

  • Access: View all your stored transcriptions in the History window within the app
  • Delete: Delete individual or all transcriptions and audio files at any time from within the app
  • Export: Export your transcriptions as CSV from the app's History view
  • Edit: Edit transcriptions directly in the app
  • Opt out of cloud services: Remove any API key at any time in settings to stop using that provider

7. Data Security

  • API keys are stored in your device's Keychain, using encrypted secure storage
  • Local transcription data is stored in a SwiftData database on your device, protected by your device's system-level encryption
  • VoiceInk does not operate any servers where your data could be at risk from our end

8. Children's Privacy

VoiceInk is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. We encourage you to review this page periodically.
