Privacy Policy

VoiceInk is built on a privacy-first principle. By default, all transcription processing happens entirely on your device using local AI models. No data leaves your computer unless you explicitly choose to enable optional cloud services.

This Privacy Policy explains what data is stored, how it is used, and your rights regarding that data. It applies to the VoiceInk macOS application, the VoiceInk iOS application, and the website documentation assistant described below.

The VoiceInk apps do not collect or transmit transcription data when you use local processing.

Local Processing (Default)

When using local transcription models (Whisper, Parakeet, Apple's native recognition, or any other local model), the following data is stored only on your device:

• Transcribed text
• Enhanced text (if you use AI enhancement)
• Audio recordings (optional, configurable)
• Custom vocabulary and prompts you create
• App settings and preferences

Cloud Processing (Optional, Opt-In Only)

If you choose to use cloud transcription or AI enhancement, the following data is sent to the provider you select:

• Cloud transcription: Your audio file is sent to your selected provider for transcription
• AI enhancement: Only the transcribed text (never audio) is sent to your selected provider for improvement
• Optional context: Clipboard text or current window content, only if you explicitly enable these features in settings

The VoiceInk apps store the following data locally on your device:

• Transcriptions: Stored in a local database (SwiftData) on your device, protected by your device's system-level encryption
• Audio files: Stored in your device's Application Support directory
• API keys: Stored in your device's Keychain (secure encrypted storage). Keys are never sent to VoiceInk servers
• Settings: Stored locally in UserDefaults on your device

We do not store your app transcriptions or audio files on VoiceInk servers. We do not have access to them unless you choose to share information with us directly (for example, when reporting a bug or issue).

You are in full control of how long data is retained on your device:

Transcriptions

• Kept indefinitely by default until you delete them
• You can manually delete individual transcriptions or bulk-delete all history
• Optional automatic deletion can be configured (e.g., delete after 24 hours or 7 days)
• Data can be exported as CSV before deletion

Audio Files

• Kept indefinitely by default
• Optional automatic cleanup available (default: 7 days if enabled)
• Deleting audio files does not delete your transcriptions

Cloud Provider Data

When you use cloud services, data retention at the provider's end is governed by their individual privacy policies. We recommend reviewing the policies of any provider you use.

The VoiceInk apps support a range of optional third-party cloud services. These are only activated when you provide an API key and select them. You remain in control of which providers you use. The website documentation assistant uses Cloudflare AI as described below and does not require your own API key.

Supported providers include:

• Groq
• OpenAI
• Anthropic
• Gemini (Google)
• Mistral
• Cerebras
• Deepgram
• ElevenLabs
• Speechmatics
• Soniox
• OpenRouter
• Ollama (runs locally on your device)

You can also configure custom OpenAI-compatible API endpoints, in which case your data is sent to the server address you specify. Each provider is subject to its own privacy policy and terms of service.

For data stored locally by the VoiceInk apps, you have direct control:

• Access: View all your stored transcriptions in the History window within the app
• Delete: Delete individual or all transcriptions and audio files at any time from within the app
• Export: Export your transcriptions as CSV from the app's History view
• Edit: Edit transcriptions directly in the app
• Opt out of cloud services: Remove any API key at any time in settings to stop using that provider

• API keys are stored in your device's Keychain, using encrypted secure storage
• Local transcription data is stored in a SwiftData database on your device, protected by your device's system-level encryption
• Your app transcriptions and audio files are not stored on VoiceInk servers

VoiceInk is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children.

When you choose Ask AI on the documentation website, your question and a limited recent conversation context are sent to Cloudflare AI Search and Workers AI to generate an answer from our documentation. You do not need to provide an account or contact details. Please avoid including passwords, API keys, license keys, or other sensitive information in questions.

The conversation is kept in page memory and clears when you reload the page, leave the docs, or choose New chat. We do not save questions and answers in a chat database or send them as analytics events. AI Search response caching and AI Gateway prompt and response logging are disabled for this assistant. Cloudflare processes requests and may retain operational metadata under its own policies; this does not mean all infrastructure metadata is absent.

Short-lived rate-limit counters use a hashed IP address to limit repeated requests. They do not contain questions, email addresses, or conversation history. For information about Cloudflare’s handling of data, see its privacy policy.

Contact support shows an editable preview of the conversation and opens a draft in your email app. Nothing is emailed automatically. You decide whether to send it and can remove details first. If you send an email, your email address and the details you choose to share are received by our support team and email provider so we can respond to your request.

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. We encourage you to review this page periodically.
